Conference Call

How do I initiate a conference call?
  1. Log in to your vCard account.
  2. On the Conference Overview page, simply enter your phone number (the host), then all the participants’ phone numbers, and then click on “Call” next to each phone number. Please make sure to call your own number first.
  3. Calls will then be generated by our system to invite the host and the participants to join the conference. If you did not upload a personalized invitation greeting the call recipients will hear “Hello, we are calling to invite you to a conference call. To join the conference call, please press ‘1’, to decline the invitation, please press ‘2’.” Learn how to record and upload your custom greeting file for a personalized conference invitation.
  4. Conference will start when the first participant accepts the conference invitation and gets connected.
  5. Conference will end when the last participant hangs up. Or you may click to “drop” any participants on the Conference Overview page.
Do I need to reserve a time for the conference call?

No. vCard Conference Call is an ad hoc conferencing service, which allows you to start a conference call at anytime, anywhere with Internet connection and access to your vCard account.

What are the costs involved in using conference call feature?

Each call to conference participants will be charged at vCard published rates or your account’s designated rate plan. There’s absolutely no setup fee or monthly fee involved in using our conferencing feature.

Is there a limit on how many conference calls I can make?

No, you can make as many conference calls as you like, as long as your usage is under your account spending limit.

Can I start a conference call even when overseas?

Yes, you can start a conference at anytime, anywhere with Internet connection and access to your vCard account. Once logged in, go to Conference Overview page to start your conference call.

How many participants can be in a single conference call?

You can invite up to 8 participants, including the host, in each conference call.

Is there a limit on the length of a conference call?

3 hours per conference call.

Can I invite international participants?

Yes. On Conference Overview page, you may enter each international participant’s country code + phone number and then click on “Call” to invite them to the conference.

What is conference call greeting file?

You can upload a .wav sound file of your personalized conference greeting. The file will be used in the voice prompt to invite participants to conference (strongly suggested). If there’s no file uploaded, our system will attach an automated sound file for conference greeting. “Hello, we are calling to invite you to a conference call. To join the conference call, please press ‘1’, to decline the invitation, please press ‘2’.”

How to upload the conference call greeting file?

On the Conference Overview page, click on the “Edit” button right next to Conference Call Greeting File and you can upload the file in the pop-up window.

Is there a limit to how big the greeting file size can be?

Yes. The limit is 5MB.

What software do I need to record the greeting file?

You need audio recording software that can save recording files in the .wav format. If you don’t have recording software available, please see the following links for downloading Audacity, a free software for sound recording and editing.

Will my caller ID be displayed on outgoing conference calls?

Yes. If a dedicated Digital Phone Line number is assigned to your vCard, when calling out using the conferencing feature, that number will be displayed as caller ID. In other cases, a system generated number will be displayed as your caller ID.

How does a conference call record display in my Call History?

For calls triggered by using the conference feature, the caller will be stamped as “Conference Call” in your Call History.

I’ve dropped the call but I can see the timer under “Duration” is still counting on the Conference Overview page. Would it affect my bill?

No. Your call is billed from the second the receiving party picks up until it’s disconnected. The timer on the Conference Overview page is mainly for informational purposes, not for billing.

If the participant rejects my conference invitation, will I still be billed for that call?

Yes. Your call is billed from the second the receiving party picks up until it’s disconnected.

What happens if I (the host) get disconnected as result of mobile phone signal lost? Will all the participants get disconnected as well?

No. All participants will remain in conference until he/she hangs up, or dropped from the Conference Overview page in your account. Should you or any participants gets disconnected from the conference due to lost mobile signal, you will need to invite the participant again, after the loading icon next to his/her phone number stops spinning, by clicking “Call”.
